Job Summary:

This position provides administrative support for the Human Resources Department and Management Team.

The Front Office Administrative Assistant performs duties such as record keeping, coordination of meetings and conferences, and working on special projects. Also, answers a multi-line switchboard handles incoming mail distribution and assist other departments in administrative tasks as needed. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.



  • Greet and direct visitors and issue, distribute and track all guest badges and key cards
  • Answer incoming calls and assume other reception-front office duties
  • Generate memos, emails and reports
  • Assist HR Department in a variety of administrative duties.
  • Books travel and itineraries for various employees and outside parties.
  • Complete and maintain AR cash/check log
  • Maintain supplies for office, mail and copier.
  • Administers in and outgoing office package services and mail.

Requirements (education, experience, travel, physical, work environment):

  • Phone systems, e-mail, and internet browsing skills required.
  • Proficiency in MS Office: Microsoft Word, PowerPoint and Excel
  • Detail oriented and comfortable working in a fast-paced office environment
  • Ability to work in a courteous and professional manner with the public and employees.
  • Exceptional communication skills
  • Exceptional organization skills and dedication to completing projects in a timely manner
  • Independent judgment is required to plan, prioritize and organize diversified workload
  • Must have the ability to read, write, and perform mathematical computations at a level required for successful job performance.
  • Ability to work independently, with minimal or no supervision
  • Must be able to handle highly confidential information.
  • Ability to type a minimum of 40wpm.
  • Ability to read, write, comprehend and verbally communicate simple instructions, short correspondence and memos in English.
  • High School Diploma or equivalent required. College degree preferred.
  • Minimum one-year Administration/multi-phone line experience. Two years of related experience preferred.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
