Essential duties of the position will range from distributor support and order entry to inside sales support and order entry.  Prepare, distribute, and maintain the records for the sales department and switchboard relief.  Works closely with Purchasing, Accounting, Warranty, Customer Service, Shipping, and Quality Control.


Duties and Responsibilities:


  • Communicate with the distributor network providing clear, accurate and timely information for their use in marketing the Bus product line in their designated areas.
  • Responsible for recording all inbound orders by assigning unit numbers to each order and inputting all necessary information into the order database (ordering).
  • Provide the Corporate Chassis Coordinator with a chassis order form to include all pertinent chassis information as well as bid concession information to insure that the proper chassis is assigned to the correct unit.
  • Enter orders into the customer order program (configuration), and provide copy to engineering for bill of material structuring.  Also, provide copy to distributor for verification.
  • Responsible for all options on the sales order and for the correct pricing of all options, to reflect any discounts, special programs or freight equalization.
  • Provide the engineering department documentation that indicates any special locations of routine equipment, such as heaters, safety equipment, etc.
  • Compile a weight calculation for every model produced to insure the vehicle is under the allowable GVWR and axle limitations and forward this information to engineering.
  • Responsible for providing profile drawings to show the proper placement of special paint designs or stripe configurations.  Sends drawings and paint samples to the distributor for verification.
  • Keep log of all buses sold, customer, engine information, pricing, order date and ship dates.
  • Responsible for the integrity of the order acknowledgements sent to the distributors and required to track the verifications when mailed and record when returned by the distributor.
  • Coordinate with production as to the status of the unit to determine if the requested changes can be made.
  • General clerical duties requested to include preparing bid quotations or return correspondence to the distributor network..
  • Be compliant with all the rules of conduct and attendance per the company handbook.





  • Ability to read, write, comprehend, and verbally communicate simple instructions, short             correspondence and memos in English.
  • Ability to effectively present information in one-on-one and small group situations to other employees of the organization.
  • Ability to work with all distributors and to assist with any questions regarding:  options offered and pricing; bid questions; available production slots; chassis availability; delivery arrangements; and other assistance as required.
  • Ability to review bill structure to verify agreement with the options ordered.
  • Ability to acknowledge any changes necessitated by BOM/engineering and enters that data in the configuration and sends update to customer.
  • Required to input the chassis VIN when assigned and DFS approval numbers on all orders to facilitate invoicing.
  • Ability to coordinate with the distributor the correct timing for the arrival of their lift to be installed.
  • Experience in the clerical field.
  • Effective written and interpersonal communication skills.
  • Computer literate:  Word Perfect, Lotus 1-2-3, Word, Excel, Word pro, Approach and Microsoft Windows.
  • High School graduate with some college.
  • Hand-eye coordination.
