Primary Functions:
Answer a multi line switchboard and greet visitors. Maintain the mailroom. Assisting sales department in administrative tasks
Duties and responsibilities:
- Answer incoming phone calls.
- Greet and direct visitors.
- Accept and distribute mail.
- Locate personnel for internal purposes as well as external customers/visitors.
- Receive in bound work orders, assign work order numbers, and put orders into Mapics system.
- Print out orders and deliver to appropriate departments.
- Maintain supplies for mailroom and copier.
- Administers in and outgoing office package services and mail.
- Assist employees and guests with questions.
- Organize meetings and conference rooms.
- Administer Critical Reports by assigning chassis and VIN number.
- Update Re-cap forms and enter into Mapics.
- Will be required to perform other duties as requested, directed or assigned.
Qualifications/Training:
- Phone systems, e-mail, and internet browsing skills required.
- Must have the ability to read, write, and perform mathematical computations at a level required for successful job performance.
- Proficient in computer use and report generation using Microsoft Office Business Suites.

- Must be trustworthy with highly confidential information.
- Able to handle an emergency situation calmly.

- Ability to type a minimum of 40wpm.
- Ability to read, write, comprehend and verbally communicate simple instructions, short correspondence and memos in English.
- Ability to multi-task in a fast-paced environment
- Ability to solve practical problems and deal with a variety of changing situations.
- Must be computer literate and have some working knowledge of a general APICS or MAPICS system.
Education/Experience:
- High School Diploma or equivalent.
- One year Administration/multi-phone line experience
Work Environment:
